Operations Co-ordinator

Location: Mississauga, Ontario
Reports To: EVP, Operations
Position Available: As soon as possible
Position Type: Full Time

Responsibilities:

Administration

  • Schedule and maintain calendar of appointments, meetings, and travel itineraries, and coordinate related arrangements for Executive Vice President of Operations and Vice President of Operations
  • Prepare, compose, and distribute correspondence, memoranda, and presentation materials
  • Develop, generate and distribute reports as required
  • Maintain appropriate records, files, documentation while maintaining the confidentiality of all information
  • Coordinate and book travel arrangements as requested and required for the Operations group (including District Managers)
  • Assist with the planning of the District Managers Conferences
  • Prepare store communication in a store user friendly format including production of the weekly communication to stores
  • Collect required information for, copying and distributing the Monthly Operations Calendar
  • Coordinate, produce, and communicate the weekly newsletter
  • Oversee the production and distribution of Customer Satisfaction Survey results
  • Retrieve daily e-mails that are sent to general mailbox and respond to sender to resolve concerns, answer questions or forward to appropriate Associate
  • Monitor 1-800 line and resolve concerns, answer questions or forward to appropriate Associate

 Operations Communication

  • Prepare store communication in a store user friendly format including production of the weekly communication to stores
  • Collect required information for, copying and distributing the Monthly Operations Calendar
  • Coordinate, produce, and communicate the weekly newsletter

 Customer Service

  • Oversee the production and distribution of Customer Satisfaction Survey results
  • Retrieve daily e-mails that are sent to general mailbox and respond to sender to resolve concerns, answer questions or forward to appropriate Associate
  • Monitor 1-800 line and resolve concerns, answer questions or forward to appropriate Associate 

Store Supplies

  • Manage the Store Supplies process including administration, ordering, maintenance, distribution, processing of invoices
  • Maintain proper replenishment of all store supplies distributed through the DC to ensure instock levels
  • Source suppliers for all new and continuing store supplies required at competitive costs

Other

  • Other duties/projects as assigned

Knowledge, Skills, Abilities, and Experience:

  • College diploma in office or business administration
  • A minimum of 3-5 years experience in an Executive or Administrative Assistant role
  • 1-2 years of retail operations experience would be an asset
  • Strong written and verbal communication skills
  • Outstanding organizational and multi-tasking skills
  • Intermediate level of expertise in MS Office (Word, Excel, PowerPoint), Lotus Notes and the Internet
  • Experience with Access and JDA are considered an asset
